Sustainable Timber Procurement Policy.
Southerns Broadstock Interiors Ltd is committed to responsible and sustainable timber procurement in line with our Environmental Policy. Although we do not manufacture timber products, we recognise our responsibility to ensure that any timber-based products we purchase and use are sourced legally, sustainably, and responsibly.
This policy supports our commitment to:

Scope
This policy applies to all timber and timber-derived products procured by Southerns Broadstock Interiors Ltd, including products purchased from:
• Our sister company Ocee
• Other UK-based suppliers and subcontractors
Management & Review
• Environmental objectives are tracked through the IMS Objectives Tracker.
• Progress is reviewed during Management Review Meetings to ensure continual improvement and alignment with FISP and FIRA best practice.
• The Executive Leadership Team ensures that resources are available to meet commitments and maintains evidence for audit and certification purposes.
• This Policy is reviewed regularly to ensure it remains suitable, relevant, and effective.
Our Commitments
Southerns Broadstock Interiors Ltd commits to:
1. Legal and responsible sourcing – ensuring all timber and timber products are sourced in compliance with UK Timber Regulations (UKTR) and other relevant legislation.
2. Sustainability – preferring suppliers who can provide certification or evidence of sustainable sourcing, including:
o FSC® (Forest Stewardship Council)
o PEFCTM (Programme for the Endorsement of Forest Certification)
3. Alignment with Environmental Policy – integrating timber procurement practices with our Environmental Policy commitments, including pollution prevention, minimisation of environmental impact, and continual improvement.
4. Supplier assurance – requesting documentation or declarations from suppliers to confirm legal and sustainable sourcing.
5. Risk management – identifying and addressing any significant environmental impacts associated with timber products and supply chains.
6. Resource allocation and monitoring – ensuring sufficient resources are allocated to monitor compliance and progress against procurement commitments.
Supplier Expectations
Suppliers are expected to:
• Comply with relevant environmental and forestry legislation
• Maintain systems to identify the origin of timber products
• Provide evidence of legal and sustainable sourcing upon request
Monitoring and Review
• This policy is reviewed annually or sooner if there are changes to legislation, certification standards, or business operations.
• Compliance and evidence of responsible timber sourcing are monitored and recorded to support internal audits and external assessments (e.g., CHAS, Constructionline, FISP).
• Progress and performance are reported to senior management to support continual improvement in alignment with the Environmental Policy.
Communication
• This Policy is communicated to all employees involved in procurement and is available via the IMS.
• Contractors and suppliers are informed of these requirements where relevant.
